Japan’s Embassy in Austria handles consular matters from Vienna for Japanese residents and Japanese-visa applicants whose residence falls within Austria. It is not a separate consulate-general. The Embassy lists two different addresses: the Consular Section’s public entrance is at Schottenring 8, while Heßgasse 6, 1010 Vienna, is its postal address and the main entrance for other business. That distinction matters when planning a visit.
The official service menu covers passports, certificates, family-register and nationality matters, overseas residence registration, overseas voting, visas, and safety and health information. Japanese nationals staying in Austria for three months or longer are instructed to file an overseas residence notification; the Embassy links to the online ORR Net service and explains other submission routes. Listed certificates include residence, signature, birth and marriage records, and a driving-licence extract.
How to arrange an appointment
The counter operates by prior appointment. Current instructions ask visitors to email consul@wi.mofa.go.jp with about two possible dates, the purpose of the visit and a telephone number. For urgent cases, the Embassy says to request the appointment by phone at +43 1 531 92 0. It explains that advance contact allows staff to outline the documents needed for each application, which can prevent an unnecessary trip with an incomplete file. Bring your Japanese passport when visiting.
Public counter hours are Monday to Friday, 9:00 a.m. to noon and 1:30 to 4:30 p.m., excluding official closure days. Those hours differ from the appointment windows, which run 9:00–11:30 a.m. and 1:30–4:00 p.m. Check the Embassy’s holiday list before travelling. Requirements and processing times depend on the service: ordinary certificates are generally described as available the following afternoon, but police certificates are excluded, and incomplete applications may not be accepted.
Use the Schottenring entrance
For the Consular Section, enter at Schottenring 8, the same entrance used by the Japan Information and Culture Centre. The Embassy gives Heßgasse 6 as its postal address. Schottentor station, served by U2 and several tram lines, is about a two-minute walk according to the Embassy’s access page. There is no visitor parking, so public transport is the practical option; allow time for building access procedures.
Residents outside Vienna should not assume every task can be completed without travelling: the Embassy announces outreach services in other Austrian cities by date and publishes a defined list of applications and collections. These sessions may require advance booking, and payment or document rules can differ. Before arranging a trip, confirm that the current session accepts your particular procedure and whether the final document can be collected there or must be collected in Vienna.
A useful order of checks
The official site separates guidance for passports, certificates, residence registration, voting and visas. Start by identifying the exact service, read its document checklist, then email the Consular Section with your reason for visiting and possible dates. Visa applicants should also check whether an in-person submission is required and whether their nationality needs a visa. This guide is an operational map, not a promise of approval or a replacement for the Embassy’s confirmation of an individual case.
