What services does Japan’s Brussels consular section provide, and how do you book a visit?

Passports, certificates, visas, required appointments, document collection and access to Japan’s Brussels Consular Section.

The Brussels office is the Consular Section of Japan’s Embassy in Belgium, not an independent consulate-general. It processes documents for Japanese nationals and Japanese visas for applicants whose residence makes this mission responsible. The official menu also provides safety and travel guidance, information about quarantine-controlled goods and driving; the Embassy is the national reference, although acceptance of an application depends on the procedure and the applicant’s residence.

The first practical distinction is between submitting an application and collecting a document. The Embassy requires online appointments for consular applications and declarations. The system must issue a booking number and send a confirmation email; if the number does not appear, registration was not completed and the institution says entry will not be allowed. Visa collection, by contrast, requires no appointment and takes place from 1:30 to 4:00 p.m. on working days.

Services and booking

The service portfolio includes passports, certificates, family-register and nationality matters, overseas residence registration, overseas voting, selected My Number procedures and visas. Japanese visa applications require an online appointment and personal appearance; the official page asks applicants to contact the Consular Section beforehand and check the procedure for their nationality and purpose of travel. For complete files, the published standard may be at least five working days, and some cases take longer.

Visitors with appointments may enter from 15 minutes before their reserved time. If they arrive late without notifying the Embassy, the appointment can be cancelled. Applicants should bring the Belgian residence card or identification required for their procedure. Visitors report to security on the ground floor, pass a baggage inspection and take the lift to the first floor. There is no visitor parking. These are practical access rules to factor in alongside the service hours.

Address and counter hours

The Consular Section is at Rue Van Maerlant / Van Maerlantstraat 1, 1040 Brussels. It is open Monday to Friday from 9:15 a.m. to noon and 1:30 to 4:00 p.m., except Embassy closure days. Visa collection is limited to the afternoon window, 1:30–4:00 p.m. The direct Consular Section number is +32 2 500 05 80; the institutional page distinguishes it from the Embassy’s general number for urgent consular matters.

The official closure calendar combines Belgian and Japanese holidays, so a local weekday does not guarantee that the counter is open. Before travelling from another city, confirm the date, appointment category and document checklist. The Embassy warns that an incomplete booking confirmation does not authorize entry, so keep the booking number and confirmation email available.

How to make the visit count

This office provides a route for Japanese residents and visa applicants, but its instructions distinguish clearly between collection and an application. If the file has not yet been submitted, begin with the online appointment process and prior contact; if you are only collecting a passport, use the stated walk-in collection window. Check your personal jurisdiction and the holiday calendar as well: requirements are updated, and additional documents may be requested.

Bottom line

For applications, complete the online booking and keep its confirmation number; for visa collection, use the afternoon walk-in window.
