Maskay guide

How do you book a Japanese passport or visa appointment in Helsinki?

A Helsinki consular guide to passports, visa pre-checks, seasonal hours, the correct entrance and outreach visits.

Japanese consular matters in Finland are handled by the Embassy of Japan in Helsinki. Its menu includes passports, certificates, family and nationality matters, overseas residence registration, overseas voting and Japanese visas for eligible applicants. The Embassy is inside an office building, and the postal address differs from the recommended public entrance.

Consular services, including passports and visas, require appointments. Visa applicants first identify the correct category and gather the documents, then email scans to visa-apply@hk.mofa.go.jp for a pre-check. Only after that review does the Embassy assign an appointment by email. Applications from foreign nationals who do not reside in Finland are not accepted. The published ordinary processing time is about five working days, but some files can take over a month; expedited service is unavailable.

Visa papers must be printed on A4 and not stapled. Some cases may be sent by registered mail or handled by an authorized proxy, but passports are not returned by post; collection is in person. The English-language visa information hotline, +358 75 326 3777, operates 24 hours a day. Separate emails cover passports, certificates, visas and residence registration; attachment size is limited.

The postal address is Unioninkatu 20–22, 00130 Helsinki; the visitor entrance is Fabianinkatu 21, reception at Havis Business Center, floor five. Reception controls lift access for security. Visitors entering from Unioninkatu should use the intercom or follow signs to the Fabianinkatu desk. Regular hours are weekdays, 9:30 a.m.–noon and 1:30–4:30 p.m.; from 1 June to 31 August the counter opens at 9:00 a.m. and closes at 4:00 p.m.

Outside Helsinki, the Embassy announces booked outreach sessions rather than permanent service counters. Its current notice lists Oulu for 6 February 2027, with separate deadlines for passports, certificates and notifications; the session can be cancelled in exceptional circumstances. The September 2026 Rovaniemi session has passed. We could not distinguish a Google score attributable to the Embassy rather than the building directory, so the numeric field is blank.
