MagicBooking is a booking and management system designed for schools, clubs and providers of children's activities. The platform centralises bookings, payments, communication with families, attendance registers and document management in a single environment, with the aim of reducing manual administrative tasks. According to data published by the company itself, more than 2,000 schools and clubs use the system, with 600,000 registered children and 400,000 parent users.

The system allows you to manage bookings for extracurricular activities, clubs, classes, trips, school dinners and parents' evenings. MagicBooking automates payment processing and reconciliation, and includes options such as card payments, the UK Tax-Free Childcare programme and vouchers. The platform allows you to automatically calculate payment plans, enforce up-front payments and set overdraft thresholds. The company states that £330 million in payments have been processed through the system.

Communication with families

The platform includes built-in communication tools to send emails and text messages, schedule sends and customise recipient lists. These channels are used to share newsletters, incident reports and announcements, keeping families informed about the activity of the school or club.

MagicBooking replaces paper registers with digital registers that allow attendance to be tracked automatically, injuries or incidents to be recorded and information to be exported or printed. The platform centralises data and custom consent forms, and the company notes that its tools are designed to comply with GDPR, Ofsted standards and other regulatory bodies.

Document generation and integrations

The system generates invoices, statements, live registers and booking confirmations, and stores all documentation digitally. MagicBooking integrates with schools' MIS systems, so that data is synchronised without manual intervention.

The company was founded in 2016 and, according to its internal FY24 metrics, the system saves £14,000 per year and reclaims 1,224 hours per year per member of administrative staff, as well as a 73% increase in cashflow.
