The management process is structured in nine phases. It begins with a no-obligation conversation and an assessment of the development, followed by an orderly handover from the previous managing agent that includes novation of contracts, transfer of floating funds, collection of keys and access codes, and notification to residents. The target handover period is 6 to 8 weeks. During onboarding, the team is introduced in writing to all residents, portal access is provided and a kick-off meeting is held with the directors. Day-to-day management covers everything from maintenance requests and contractor management to service charge administration, with every issue logged and tracked in real time. For works, a minimum of two quotes is typically obtained and director approval is sought where required. Contractors are paid within five working days of sign-off.
Maintenance, compliance and emergencies
Cyclical renewals, certificates and health and safety assessments are initiated within three months before the due or expiry date, with the aim of completing them and publishing them on the portal one month in advance. In an emergency, the priority is the safety of residents; the emergency services and contractors are instructed and notified, and residents, leaseholders and directors are informed as soon as possible. The company reserves the right to incur emergency expenditure to make an area safe; any further expenditure for non-urgent works requires director authorisation.
Reporting, site visits and the annual cycle
The assigned manager carries out frequent site visits — often monthly or quarterly, as agreed with the directors — and produces a written report covering condition notes, actions arising, expenditure to date and planned works. The report is distributed on the platform within five working days. The company also prepares the annual service charge budget, supports the annual general meeting and manages year-end closing.
